Background
There is no legal obligation
for the Co-operative Federation of Victoria Ltd to comply with the national
Privacy Act 1988 because our annual turnover is under $3m. However, because of
the CFV’s commitment to best practice we have decided to voluntarily commit to
the national privacy principles.
Under the Privacy Act,
personal information means information or an opinion, true or false and whether
recorded in a material form or not, about an individual whose identity can be
reasonably ascertained from that information or opinion.
Management
The CFV is committed to
protecting the privacy of members and non-members and has, therefore, endorsed
the National Privacy Principles.
What personal information
is collected and how it is collected by the CFV
The CFV receives information
including name, address, telephone, email and facsimile contact details from
members and non-members on membership, membership renewal or application forms,
event registration and product order forms.
The CFV receives information
from browsers when individuals visit our website, australia.coop, such as your
server address, domain name, date and time of visit, the pages visited, files
downloaded.
The CFV may receive information
when you contact the CFV in person or through telephone, or send a facsimile or
attend a program.
How and why we maintain
and use personal information.
Members
The personal information the
CFV collects from members is required to ensure initial and ongoing eligibility
for membership. This information is also used in written and/or electronic form
in order to provide you with information and to inform you of products and/or
services.
The CFV also collects
personal information when you request products and/or services and attend the
annual general meetings and/or other events organized by the CFV.
If you send us an email the
email address will be recorded automatically.
Non-Members
The CFV collects and
maintains personal information about non-members for the purpose of providing
information about membership and our services and/or products. We maintain and
use this information in written and/or electronic form. If you tell us you do not wish the CFV to
provide you with information about membership, services and products, we will
aim to comply with your request.
Personal information
disclosure by CFV
The CFV may disclose
personal information that we collect about members or non-members to
co-operatives or other businesses that perform services on our behalf in
connection with maintaining or servicing our membership or processing requests
for products or services.
From time to time the CFV
develops strategic business alliances with other co-operatives and third party
providers to promote and/or market a service or product that will be of benefit
to members and non-members other than those non-members who have informed us
that they do not wish to receive this information. Once you subscribe to a
service offered by a CFV business partner or third party provider, that
organisation is responsible for the management of any information you provide
to it as part of that transaction.
The CFV may also disclose
personal information if the CFV is required or authorized to do so by law.
Access to and the Accuracy
of Personal Information
CFV will give you access to
your personal information upon your written request and verification of your
identity. The CFV will take reasonable steps to ensure the personal information
that CFV maintains is accurate, complete and up-to-date. Members will be asked,
for instance, on annual basis to confirm contact information. Once requested,
however, the CFV has taken the necessary reasonable steps and it is the
responsibility of members to respond.

All our data is secured in
written and/or electronic form.
